How to Make a Wedding Planner Styled Shoot Budget for Your First Styled Shoot

Styled shoots are a vital component of a wedding planner’s portfolio. They allow you to showcase your work and demonstrate your style and creativity. But, unfortunately, not everyone has an unlimited budget for all their creative ideas. One of the essential things you need to do as a wedding planner is to make a budget for your styled shoot. In this blog post, I’ll be providing you with some tips to help you make a styled shoot budget, especially if it’s your first time.

Determine Your Objective

The first step to making a styled shoot budget is to determine your objective for the shoot. What are you trying to achieve? Is it to present a new idea or concept? Brainstorm ideas with your team, think about the mood, color themes, and style you want to portray. You can also research trends and inspiration on social media, magazines, and blogs to help refine your vision. Knowing your objective will help you determine the theme, location, and other aspects of your styled shoot, making it easier to create a budget.

Decide on Your Must-Haves

After defining your vision, you need to break down your needs and wants into two categories – must-haves and nice-to-haves. Must-haves are the crucial elements that you need to have to bring your vision to life. These may include venue rental, photographer, florist, models, props, and décor. Nice-to-haves are desirable elements that add to the overall aesthetics of the shoot, but aren’t essential. Remember that you don’t have to go through this alone – collaborate with other vendors and take their advice into consideration. Overall, creating a styled shoot budget doesn’t have to be a stressful process. Take it step by step and always refer back to your objective. Allocate Your Budget

When it comes to budgeting for your shoot, it’s important to consider all the different elements and allocate your funds accordingly. Start by determining how much you want to spend overall, and then break it down into individual categories such as individual vignettes, props, and any additional expenses that may arise. Remember, it’s always a good idea to leave some room in your budget for unexpected costs that may pop up along the way.

Now, here’s a little tidbit from my personal philosophy: I strongly believe that every vendor involved in the shoot is generously contributing their own time, money, and resources. However, when it comes to florals (excluding the costs of labor), I think it’s fair to share the expense among all the vendors. After all, flowers play a crucial role in creating the ambiance and aesthetic of the shoot. So it makes sense for vendors to pool their resources and cover the wholesale cost of the blooms.

Additionally, it’s crucial to be mindful of any last-minute add-ons that may tempt you to overspend. This could include providing food for the vendors or adding extra decor details. Keeping a close eye on these expenses can help you stay within your budget.

Partner with Other Vendors

Partnering with other vendors is a fantastic way to stretch your budget and elevate the overall quality of your styled shoot. Reach out to talented creatives in your area, such as florists, stationery designers, and cake makers, and propose a collaboration. Many vendors are excited about the opportunity to showcase their skills and expand their portfolio, so don’t be afraid to ask. When approaching potential partners, be sure to clearly communicate your vision for the shoot and discuss the expected costs involved. By working together, you can create a stunning aesthetic and build strong relationships within the industry.

Collaborating with other vendors offers numerous benefits beyond just cost savings. It allows you to tap into the expertise and unique perspectives of different professionals, resulting in a more dynamic and multifaceted shoot. With each vendor bringing their own skills and creativity to the table, you can achieve a cohesive and visually captivating aesthetic that will impress both clients and industry peers.

    Prioritize Your Expenses

To manage your budget effectively, you need to prioritize your expenses. Determine which elements are essential, and which ones can be eliminated if the need arises. For instance, if you have a tight budget, you might want to consider cutting down on the number of models or the amount of flowers. While it is crucial to prioritize your spending, there are certain necessities that you should not overlook.

    Cake

A styled shoot is not complete without a beautiful cake to serve as the centerpiece. Choose a cake that complements the overall theme and color palette of the shoot, and don’t be afraid to experiment with unique flavors or decorations. If you’re looking for something extra special, consider having a custom cake made specifically for your shoot!

    Main Tablescape

The main tablescape should be the focal point of your styled shoot, so it’s important to choose pieces that will make an impact. Whether you opt for modern and minimalistic or classic and ornate, make sure all the components work together to create a cohesive look. Don’t forget to add in small details like place settings, menu cards, and floral arrangements.

    Bride

No matter what type of styled shoot you’re doing, having a bride present is essential! Not only does she provide an element of realism to your images, but she can also help bring life and personality to the scene. Make sure you have a selection of gowns available for her to choose from so she can find one that fits her style perfectly.

    Paper Goods

Paper goods are an important part of any styled shoot as they provide visual interest and texture to your images. Consider including things like invitations, menus, programs, thank-you cards, signage, etc., all in colors that coordinate with your overall theme. This is also a great opportunity to showcase creative stationery designs or calligraphy styles!

    Flowers

Flowers are always a necessity when it comes to styling shoots! They can be used in many different ways – from bouquets and centerpieces to floral backdrops and more – so get creative with how you incorporate them into your scenes! Choose seasonal blooms that coordinate with the rest of your decor elements for maximum impact.

    Hair & Makeup

Having professional hair and makeup services on set will ensure that everyone looks their best in the photos! Bring in someone who specializes in bridal beauty so they can give your models the perfect look for each scene. Think soft curls, subtle smoky eyeshadow looks, natural lip colors – whatever fits best with the mood of your shoot!

    Rentals

Rentals are another great way to add depth and dimension to any styled shoot! From furniture pieces like chairs or tables to props like books or dishes – anything you can think of can be rented out if necessary! Just make sure to return everything on time so you don’t incur any additional fees or charges from rental companies.

    Be Realistic

In creating your budget, it’s important to set realistic expectations. Don’t skimp on essential items, as this may compromise the overall quality of your styled shoot. It’s better to have a simpler shoot with a cohesive theme than an over-the-top one that’s misaligned with your vision. Also, set aside some funds for unforeseen expenses that may arise, such as additional props or last-minute changes.

    Monitor Your Expenses

Monitoring your expenses is a crucial aspect of putting together a successful styled shoot. As you embark on this creative journey, it’s important to keep a close eye on your actual spend versus your projected budget. By diligently tracking your expenses, you can ensure that you stay on track and make informed decisions throughout the process.

One way to effectively monitor your expenses is by adopting a systematic approach. Start by creating a detailed budget that outlines all the necessary expenses, such as vendor food, props, wardrobe, design details. As you make purchases or incur costs, record them in a spreadsheet or use a budgeting app to maintain a clear overview of your spending. Regularly compare your actual expenses against your projected budget to identify any discrepancies and address them promptly. This proactive approach will enable you to make adjustments if necessary, ensuring that you maintain control over your finances while still achieving your desired outcome.

Moreover, it’s crucial to keep in mind that unexpected expenses can arise during the course of your styled shoot. While it’s important to stay within your budget, it’s equally important to be flexible and adaptable. If you find yourself needing to go beyond your initial budget, take a moment to evaluate whether the additional expenses are justifiable and if they will significantly enhance the overall quality of your project. By making informed decisions and prioritizing your spending, you can strike a balance between financial responsibility and achieving your vision.
