When we are hired to do wedding management, we don’t have the advantage of truly being in the know. We haven’t gone to their vendor meetings. We haven’t sat around a table talking about wedding décor. We haven’t vetted any of their vendors. Most of the time we’re walking into the unknown. As thrilling as it may be to have a client, this type of service can cause a real anxiety attack. For those who are adrenaline junkies, this service might really appeal to you. But even if you’re not hooked by endorphins, wedding management can be made painless with a wedding preparation list.
Wedding Preparation List
As a day-of coordinator, your work will really begin at the 30-day mark. However, before you begin to figure out the nitty-gritty of the wedding day, you will want your bride to complete a few questionnaires. This way, when you speak with your bride you will be more informed (and she’ll appreciate that). These are the documents you will want for your wedding preparation list.

#1 Client Worksheet
The client worksheet is a questionnaire that will help you gather all of those small wedding details. The client worksheet should be sent 60 days before the wedding. This will give them plenty of time to complete it. This worksheet also has a few questions for the bride to fill out that will help you create a blog post about the wedding later. If you’re looking for a client worksheet template, check out the Wedding Management Planner Kit.
#2 Vendor Worksheet
The vendor worksheet helps brides keep their vendors organized. For it to be most beneficial to them, it should be sent at the time the client books with you. The questionnaire should be due at the same time the client worksheet is due, which is 30 days before the wedding.

#3 Site Visit
You should complete a site visit with your client 30 days before the wedding. At the site visit you will want to walk through the floor plan with your client and have her tell you where tables and décor will go. Make sure you understand what the flow of the event will be like. If you’re looking for a site visit checklist, check out the Wedding Management Planner Kit.
#4 Inventory Worksheet
Your inventory worksheet is a list of all personal décor your bride will be bringing in. You will want to send this worksheet at the 30-day mark, and it should be due two to three weeks before the wedding. Be sure to go over this list in detail with your bride.
