Who else gets excited when they get to create a new wedding planner workflow? No, just me? If you’re wondering what the heck I’m talking about, then, obviously, you haven’t known the true nirvana that automation can bring. And that makes me sad because automation will totally change your life. Or, at the very least, how you do business.
Wedding Planner Workflow
If you’re thinking of getting your toes wet with automation, go ahead and check out my free workflow course—you won’t regret it, trust me. To run a successful business, you need to understand your own systems and processes. Are you repeating the same tasks at the same time over and over? If so, great. If not, it’s time to create some consistency in your services. Either way, though, it’s a good idea to take pencil to paper and start writing out how you do business. If you’re reading this and aren’t quite convinced, let me share with you four reasons why you need a wedding planner workflow. Systems and automation can elevate your wedding planning business- so take notes!
1. More Clients, More Remembering
If you have seven or more clients on the books, you need some automation in your life. It’s easy to keep track of a client’s tasks when you’re working with a small number of daily to-dos, but when you multiply that endless list, it can get a bit overwhelming. That’s how automation can help. You create a workflow and your CRM will either remind you to do something or it will automatically send out an email or questionnaire designed to your specific needs.
2. Adding Team Members
Is it time for you to add team members to your wedding planner business? If so, I highly recommend having automation in place because it makes training a new team member so much easier. By having a workflow already set up, you don’t have to micromanage your team. This helps to keep your service consistent no matter which team member is serving your client. It’s also extremely helpful if you ever encounter a crisis and have to jump in and take over. With automation, you’ll know exactly where to start.

3. Knowing the End Goal
Have you taken a moment and thought about your end goal? What happens when you want to retire from wedding planning to enjoy life on a beach in Mexico? Will you sell your company? Having automation in place will help bring value to the sell. If you have a really great system with processes already set up, your company will be very desirable. No one buys a wedding planning company for its referrals. It’s all about how efficiently it runs and the money it makes as a result of those systems.
4. Be Still, My Anxiety
Automation does more than just organize your business. It also relieves anxiety—the anxiety of trying not to forget to create a timeline, a rehearsal, or even a wedding day. Before automation I would have this recurring dream of forgetting about a client’s wedding. If that’s you right now, it’s time to get on board with workflows and automations. You will sleep so much better at night, trust me.
Your CRM System
Making the decision to automate is synonymous with making the decision to use a CRM system. There are many out there, including HoneyBook, Aisle Planner, 17hats, and Dubsado. Try a few to see which one best fits your needs. There is no perfect CRM system, at least not yet. Decide what you can live with and what’s a deal breaker.
Conclusion
Of course, creating a workflow is not carte blanche to get rid of all touch points. You still want to carve out places where you can connect with your clients one-on-one to create a valuable experience. Start automating the tasks you find yourself doing over and over with the same template. If automation is calling your name, be sure to check out my FREE Workflow Course.
